Managing Resources
Your My Resources & Sales Collateral workspace is where you manage the PDFs, Videos and Presentations you've uploaded to Ekphrastic.
From here, you can preview, configure, duplicate, replace, organise, share or delete your Resources.
Preview a Resource
Use Preview when you want to view the published version of a Resource.
Preview is available when the Resource is published.
Resources are automatically published after they have been uploaded and processed successfully, so newly uploaded Resources are normally ready for Preview once processing has finished.
Preview and Share are different actions:
Preview lets you inspect published content from your workspace.
Share provides a URL that you can send to someone.
For more information, see Publishing Content.
Configure a Resource
Use the Resource's configuration options when you want to update its general settings.
Configuration changes the Resource in your workspace without requiring you to upload a new file.
Duplicate a Resource
Duplicate a Resource when you want to create a separate copy.
The duplicate becomes an independent Resource in your workspace, allowing you to manage or reuse it separately from the original.
This can be useful when you want to:
Create a separate version for another purpose
Reuse existing collateral
Make changes while preserving the original
For Presentations, the duplicated Resource also includes a copy of its presentation slides.
Existing tracked share links and their Buyer Engagement history are not transferred to the duplicate.
Replace a Resource file
Use Replace when you want to update the underlying file while keeping the existing Resource.
Replacing is different from uploading a new Resource. The existing Resource remains in place while its file is updated.
This can be useful when you have a newer version of a PDF, Video or Presentation and want to update the existing Resource rather than create another item in your workspace.
When a Resource cannot be replaced
Ekphrastic prevents replacement when the Resource is currently embedded within an ROI Model.
If Replace is unavailable because of this dependency, remove the Resource from the ROI Model before replacing its file.
This helps prevent an embedded Resource from being unexpectedly changed while it is being used within a model.
Note: Being included in a Collection does not prevent a Resource from being replaced.
Resources in Collections
A Resource can be included in a Collection while remaining independently available in your Resources workspace.
Adding a Resource to a Collection does not move or duplicate it.
If you remove the Resource from a Collection, the original Resource remains in your workspace.
This means you can reuse the same Resource across your content without maintaining unnecessary copies.
Organise Resources
Use folders and tags to organise your Resources.
You can also use search, filtering and sorting to find content within the Resources workspace.
Organising a Resource does not change its:
Publication state
Tracked links
Buyer Engagement history
Collection membership
For more information, see Folders, Tags, Search & Sort.
Publish or unpublish a Resource
Resources that complete upload processing successfully are automatically published.
You can subsequently change their publication state using the available publishing controls.
Unpublishing a Resource does not delete the Resource, its existing tracked links or its historical Buyer Engagement data.
Publishing and sharing remain separate actions.
For more information, see Publishing Content.
Share a Resource
Resources can be shared directly without first adding them to a Collection.
Use Share to create or copy a shareable link.
When sharing, choose whether you need engagement tracking:
Use a tracked link when you want supported activity to appear in Buyer Engagement.
Use an untracked link when engagement analytics aren't required.
You can create multiple tracked links for the same Resource, with each tracked link maintaining its own engagement history.
For more information, see Sharing Content and Tracked vs Untracked Links.
Delete a Resource
Delete a Resource when you no longer need it.
Before deletion, Ekphrastic may prevent the action if the Resource is still being used elsewhere.
For example, a Resource included in a Collection must first be removed from that Collection before the underlying Resource can be deleted.
This protects content that is still referenced elsewhere in your workspace.
Removing a Resource from a Collection
If deletion is blocked because a Resource belongs to a Collection, remove the Resource from the relevant Collection first.
Removing it from the Collection:
Removes the Collection relationship
Does not delete the Resource
Leaves the Resource available in your Resources workspace
You can then decide whether you still want to keep or delete the underlying Resource.
Deleting and Buyer Engagement
Deleting a Resource is different from unpublishing it.
Deletion is a destructive action and can remove information associated with the Resource, including:
Tracked links
Tracked-link visit history
Associated Buyer Engagement data
If you want to keep the Resource and its historical sharing information but remove it from its published state, use Unpublish instead.
Replace, duplicate or upload new?
These actions serve different purposes:
Update the file while keeping the existing Resource
Replace
Create an independent copy
Duplicate
Add completely separate content
+ New / Upload
Remove the Resource from a Collection but keep it
Remove from Collection
Permanently remove the Resource
Delete
Choosing the appropriate action helps you avoid unnecessary copies or accidentally removing content that is still in use.
Presentations
Presentations are Resources, but they also have additional slide-management capabilities.
You can manage presentation slides and include ROI Models as slides within a Presentation.
For more information, see Creating & Managing Presentations.
