Folders, Tags, Search & Sort

Ekphrastic provides folders, tags, search and sorting to help you organise and find content as your workspace grows

These tools are primarily available within your ROI Models & Calculators and Resources workspaces.

Using folders

Folders let you group related content together within your workspace.

You might use folders to organise content by:

  • Customer

  • Opportunity

  • Solution

  • Industry

  • Team

  • Use case

An item can belong to one folder at a time.

Folders use a simple, flat structure. Folders cannot be placed inside other folders.

Folder availability

Folders can be configured for different types of content.

Depending on the folder, it may be available for:

  • ROI Models

  • Resources

  • Both ROI Models and Resources

This lets you keep organisation relevant to the type of content you're managing.

Collections do not use the same main folder-navigation experience as ROI Models and Resources.

Moving content between folders

You can move an ROI Model or Resource from one folder to another.

Moving an item changes where it is organised in your workspace.

It does not change the item's:

  • Publication state

  • Existing share links

  • Buyer Engagement history

  • Collection membership

The content itself remains the same.

Removing content from a folder

You can remove an item from its current folder without deleting the item.

The ROI Model or Resource remains available in its workspace and can be moved into another folder later.

Folders are an organisational tool rather than the owner of the content they contain.

Deleting a folder

Deleting a folder does not delete the ROI Models or Resources organised within it.

When a folder is deleted, its contents remain available in the relevant workspace without that folder assignment.

Important: Deleting a folder and deleting the content inside it are separate actions.

This means you can reorganise or remove folders without losing the underlying content.

Using tags

Tags provide another way to categorise your content.

Unlike folders, tags can be used to describe characteristics that may apply across different items.

For example, you might create tags for:

  • Industries

  • Solutions

  • Use cases

  • Campaigns

  • Content themes

An item can use tags alongside its folder assignment.

This lets you use folders for primary organisation and tags for additional categorisation.

Filtering with tags

The ROI Models and Resources workspaces let you filter content using tags.

You can select up to four tags when filtering these workspaces.

Tag filtering works alongside other organisational controls, helping you narrow the content displayed.

Collections can have tag information associated with them, but the main Collections workspace does not provide the same tag-filtering experience as Models and Resources.

Folders and tags work differently

Folders and tags serve different organisational purposes.

Folders

Used for categorisation and filtering

Flat structure

No folder hierarchy required

You can use both together.

For example, an ROI Model could be stored in a customer folder while also carrying tags for its industry and solution.

Search your workspace

Use Search when you want to find content by keyword.

Search operates within the workspace you're currently viewing.

For example:

  • Searching from My ROI Models & Calculators searches Models and Calculators.

  • Searching from My Resources & Sales Collateral searches Resources.

  • Searching from My Collections searches Collections.

Search does not operate as a single global search across every type of Ekphrastic content.

If you can't find something, first check that you're searching from the correct workspace.

Combine search with organisation

Within supported workspaces, search can work alongside folders and filters.

For example, you might:

  1. Open a particular folder.

  2. Apply relevant tag filters.

  3. Enter a search term.

  4. Review the matching content.

This can make it easier to find a specific item when your workspace contains a large amount of content.

Sort your content

Use the available sorting controls to change the order in which content is displayed.

Sorting changes the presentation of the current workspace results. It does not modify the underlying ROI Models, Resources or Collections.

Use sorting alongside Search and filters when you want to narrow and organise the items currently displayed.

Organising Collections

Collections use a simpler organisational experience than ROI Models and Resources.

The main Collections workspace does not use the same folder sidebar or tag-filtering controls.

This means you should not expect every organisation feature available in Models or Resources to appear in Collections.

Search and available workspace controls can still help you find Collections.

Organisation doesn't affect sharing

Changing folders, tags, search results or sorting does not change how existing content is shared.

For example, moving an ROI Model to another folder does not:

  • Unpublish it

  • Create a new share link

  • Remove an existing tracked link

  • Reset Buyer Engagement

  • Remove it from a Collection

Workspace organisation and sharing are separate concepts.

A simple organisation approach

If you're setting up your workspace for the first time, a simple approach is often enough:

  1. Use folders for your main organisational structure.

  2. Use tags for characteristics that cut across folders.

  3. Use search when you know what you're looking for.

  4. Use filters and sorting to narrow larger sets of content.

You don't need to create a complex folder structure before you start using Ekphrastic.

Because folders are flat, keeping the structure relatively simple can make content easier to find as the workspace grows.
