Adding & Organising Collection Content
Once you've created a Collection, you can add existing ROI Models and Resources from your Ekphrastic workspace and arrange them into the experience you want to share.
Content added to a Collection remains independently available in its original workspace.
Add content to a Collection
Open the Collection you want to manage and use the available content controls to add items.
You can select existing content from your workspace, including:
ROI Models & Calculators
PDF Resources
Videos
Presentations
Choose the content that's relevant to the audience or opportunity for which you're preparing the Collection.
Adding content doesn't create a copy
When you add an ROI Model or Resource to a Collection, Ekphrastic associates the existing item with the Collection.
It does not create an independent duplicate.
For example:
An ROI Model remains available in My ROI Models & Calculators.
A PDF remains available in My Resources & Sales Collateral.
A Presentation remains available as a Resource.
The Collection provides a curated way to bring that content together.
Choose relevant content
A Collection doesn't need to contain everything related to an opportunity.
Select the content that helps create a useful, focused experience for the recipient.
For example, a Collection might contain:
A relevant Presentation
A supporting PDF
An ROI Model
A product or customer video
Another Collection might contain only an ROI Model and one supporting Resource.
The appropriate structure depends on what you want to communicate.
Arrange Collection content
Use the Collection's content-management controls to organise the items you've added.
Consider the order in which you want someone to encounter the content.
A possible sequence could be:
Introduction → Business Context → Supporting Content → ROI Model → Additional Resources
There is no requirement to follow a particular sequence. Arrange the Collection around the experience you want to create.
Add existing workspace content
Collections use content that already exists in your Ekphrastic workspace.
This means you can build a curated experience without uploading or recreating the same content specifically for the Collection.
If the content you need isn't available yet, create or upload it in the appropriate workspace first.
For example:
Create an ROI Model in My ROI Models & Calculators.
Upload a PDF, Video or Presentation in My Resources & Sales Collateral.
Return to the Collection and add the content.
Reuse content across Collections
The same ROI Model or Resource can be used as part of your wider content library rather than being tied exclusively to one Collection.
This makes it possible to reuse relevant content when building curated experiences for different opportunities.
Remember that the underlying item remains independently managed in its original workspace.
Remove content from a Collection
You can remove an item when you no longer want it to appear in a particular Collection.
Removing content from a Collection:
Removes it from that Collection
Does not delete the underlying item
Does not remove it from its original workspace
For example, removing a PDF from a Collection leaves the PDF available in My Resources & Sales Collateral.
Likewise, removing an ROI Model leaves the model available in My ROI Models & Calculators.
Important: Remove from Collection and Delete are different actions. Use Remove when you only want to change the contents of the Collection.
When deletion is blocked
Ekphrastic protects content that is still referenced by a Collection.
If you attempt to delete an underlying Resource while it is included in a Collection, Ekphrastic may require you to remove it from the Collection first.
The process is:
Identify the Collection using the Resource.
Remove the Resource from that Collection.
Confirm that you still want to delete the underlying Resource.
Delete it from your Resources workspace if it is no longer required.
This helps prevent content from being deleted while it is still part of a curated experience.
Replacing Resources used in a Collection
Being included in a Collection does not, by itself, prevent a Resource file from being replaced.
This is different from some other content dependencies in Ekphrastic.
For example, a Resource embedded within an ROI Model can prevent that Resource from being replaced until the dependency is removed.
For more information about replacement rules, see Managing Resources.
Organising content outside the Collection
Folders and tags organise content within the Models and Resources workspaces.
They are separate from Collection membership.
Moving an ROI Model or Resource to another folder or changing its tags does not remove it from a Collection.
Similarly, adding something to a Collection does not change its folder or tag organisation.
Collections and folders
The main Collections workspace does not use the same folder-navigation experience as the Models and Resources workspaces.
When selecting content for a Collection, you may still encounter organisational controls that help you find available content.
This does not mean that the Collection itself belongs to the selected Model or Resource folder.
Changes to Collection membership
Adding or removing content changes the composition of the Collection.
It does not automatically:
Publish or unpublish the Collection
Publish or unpublish the underlying content
Create a new tracked link
Delete historical Buyer Engagement data
Move the underlying content to another workspace
These are separate actions.
Before sharing a Collection
Before sending a Collection to someone, it's useful to review:
Whether the correct content has been included
Whether unnecessary content has been removed
Whether the content is arranged appropriately
Whether the Collection is ready for its published state
Whether you want a tracked or untracked share
Once the Collection is ready, use Preview to review its published experience before sharing where appropriate.
